How to Send and Receive Email from Leads & Contacts

There are a variety of ways to simply and effectively send and receive emails with leads.  This article will focus on Personally emailing leads, rather than automated Emails that can be sent from the system.

There are a few important ways to learn to use the system in emailing with your leads:
  • Send individual email from your Lead List
  • Send mass email from your Lead List
  • Send email from a Lead Detail
  • Receive email replies from your leads
Please note that you can also sync sent and received email in your Inside Real Estate System.  Configuration for this is found in a help article on  Syncing Your Email Account.
Regardless of the method of sending email from the system, you will utilize the same Send Email Dialogue, with options for:
  • To (This is the email recipient)
  • Use of a Pre-Defined Template (See our articles on Lead Automation for more information on Templates)
  • Send me a Copy (Checking this box will CC you on the email sent)
  • Inclusion of an MLS Number (will embed the MLS thumbnail and short description at the bottom of the email)
  • Subject Line
  • Email Content
  • Inclusion of Personal Signature (Your personal signature is found in your Profile on the Team Page)
Send individual email from your Lead List
When you login to your Dashboard and visit the Lead & Contact Center, you can email leads directly from the list-view of your leads.
  1. From you list of leads, click on the email address of the lead you would like to email
  2. The Send Email dialogue will pop up and you can complete and send to the individual contact
Send mass email from your Lead List
You can email a list of leads as easily as emailing a single lead from the list-view.
  1. From you list of leads, check the box next to a set of leads in your 
  2. The Send Email dialogue will pop up (note that it now says 'Multiple Recipients' and you can complete and send to the list.
  3. Note that emails to a list should normally use a template that includes personalized merge fields (for example for the contact's name).  This ensures that you are not sending overly-general communication out to leads or contacts.
Send email from a Lead Detail
Within a Lead Detail (after clicking on a lead name from the Lead List), you can send an email by clicking on the 'Email' button in the header of the lead detail.
Receive email replies from your leads
When you send emails from your Inside Real Estate system, your leads can also reply back to your emails that are sent from the system.  
Email replies from your lead or contact to one of the emails you have sent from your system will automatically log in the timeline for that lead as well as forward to you in your personal email inbox.  You can then simply reply to that email from your email program and, again, have the email logged in your system while sending the reply to your lead or contact.
  1. From you list of leads, click on the email address of the lead you would like to email
  2. The Send Email dialogue will pop up and you can complete and send to the individual contact
